In 1992, the owners of Intuit launched new accounting software, QuickBooks, to help small to mid-size companies with their accounting needs. From that point, the QuickBooks software exploded and is currently used in 92% of small to mid-size businesses throughout the United States.
The initial product, which was a desktop version, provided the business owners: 1) Flexibility, 2) Ease of Use, 3) Payroll, 4) Scalability and 5) Affordability. These benefits continue to be the reason why many owners continue to prefer the desktop version over the online version.
The launch of the QuickBooks Online version was not as successful as the owners of Intuit had projected because of some of the following limitations. Many long-time users were disappointed because it had fewer features than QuickBooks Desktop, such as: the ability to bounce between reports; the clunkiness of posting split transactions and the limited advanced reporting options.
Since the initial launch, Intuit has been working hard to move desktop users to the online version with the following benefits:
- Ease of integration with third-party software
- The downloading feature for bank and credit card activity
- Effortlessness of working with your client and accountant for help since both parties are viewing the data in real time
- Cloud-based use on mobile and portable devices which provides flexibility regardless of location
- Ability to attach images, documents, and signatures
- Expansion of reports
All these features are great benefits but since this is a cloud-based product, owners can experience a lag during peak hours due to a lack of connectivity which may limit an owner/accountant’s response time and slow their productivity.
Each of these products has their uses and a place in the marketplace. If the owner requires smarter more advanced functionalities for managing their inventory, job costing and reporting, the Desktop version is a better choice. However, if the business needs flexibility, customization, user friendly interface, affordability and strong integration features, the QuickBooks Online version is the answer.
Before purchasing either version, the business owner needs to understand their needs, requirements, preferences, and budget.
In conclusion, both products are a beneficial solution to the small and mid-size business owners’ accounting needs, but it is important to work with your accountant to determine which version is suitable for your business.
